Jobs, what to invoice and open quotes on your phone

Updated

Open this in Talisk HQ

The Work tab on your phone answers one question: what jobs are on, and what can I bill? Every figure on it is one another screen in HQ already shows, so the phone and the computer agree. A figure with nothing to show is left out rather than printed as zero, and a job is listed once.

The top of the screen

  • Ready to bill is the total of the unbilled work across your jobs, before tax, with how many jobs it covers. Under it are the hours logged this week and how many quotes are waiting. Tap it to see just the jobs with work to bill.
  • Today and this week lists the jobs you have booked from today through the next six days, earliest first, each with its day (Today, Tomorrow, or the weekday and date in your books' own time zone) and its site address. Directions opens your maps app on the address and Call dials the client's phone; each shows only when the job has an address or the client has a phone. Tap the job itself to open it. A job gets its day from Booked for when you start it, or from the scheduled date on the computer.
  • Quotes with no answer lists quotes you sent that the client has not accepted or declined, oldest first, with how long ago each was sent and whether it has passed its valid-until date. Tap one to open it. Tap Follow up under a quote to write to the client about it: HQ drafts a short, polite email naming the quote, its total and its valid-until date, addressed to the client, with a link to view and accept the quote online. You can change the address, subject and message, and nothing is sent until you tap Send. If the client has no email address, type one. The quote stays as it was sent, with its original sent date, and its row then says when you last followed up.
  • Hours this week shows the hours each worker logged from Monday to today as a bar per worker, the busiest worker's bar longest. Work logged against nobody shows as Unassigned. These are hours, not pay.

Your jobs

Below that, the Jobs and Clients buttons switch lists, each with a count. On Jobs, the filter row reads Active, To bill, Done and All, each with a count. To bill is any job with work you have not billed, whatever its status; Done is invoiced and complete jobs. A search box appears once you have more than eight jobs, and finds a job by its number, title or client.

Each job shows its number and title, the client, and a date line (the day it is scheduled for if that is still ahead, otherwise when it started or finished). Underneath it can show:

  • to bill, the amount Invoice from Job would bill today on the computer, the same as the unbilled column on the computer's jobs list, with an Invoice button;
  • a thin bar for how much of the job's budget the costs have used, in red once they pass it, for a job that has a budget;
  • the margin. If some expenses are not sorted yet into labour or materials, it says so instead, because the margin is not final. A job with no invoices yet shows no margin.

A brand new book with no clients and no jobs also shows three steps at the top: add a client, start a job, and log hours from the Do button. The rest of the screen is there from the first day: a card with nothing in it yet says so, such as Nothing booked this week with a Start a job button, or No hours logged this week.

Invoicing from a job

Tap Invoice on a job. The approval opens under that job, and HQ shows a preview of the invoice first and creates nothing. You confirm, then see the email, and nothing is emailed until you tap Send. It is the same flow as Bill this job on the job itself, and only one job can be open this way at a time. Invoice is not shown while the figures are out of date, for instance when your phone is offline; the figures stay on screen with a line saying so.

To log hours, start a quote or write an invoice from scratch, use the Do button.

Good to know: The Work screen reads your jobs, hours and quotes and changes nothing, with two exceptions: Invoice opens the same steps as Bill this job, which preview the invoice first, create it only when you tap Continue and email it only when you tap Send; and Follow up on a quote drafts an email to the client and sends it only when you tap Send, never on its own. Ready to bill and to bill are before tax. Hours this week are hours only, counted Monday to today in your books' own time zone; they are not payroll and carry no pay. A margin marked not final has expenses HQ could not yet sort into labour or materials.
