Close a day at your till
Updated
Each day your till closes, the report it prints goes into HQ as one close. A posted close books that day's sales and tax, and its money waits in Undeposited Funds until a deposit reaches the bank.
Open In store in the sidebar, stay on Days, and choose Close a day.
Type the day in the order your report prints it
- Choose the till and the day.
- Under Sales, enter Gross sales, Discounts and Refunds, before tax.
- Under Tax, enter the tax your report shows, net of refunds. HQ books what the till charged and never recalculates it.
- Under Money taken that isn't a sale, enter Gift cards sold. If the till takes tips, enter Tips there too.
- Under Payments, enter what each payment type took: cash, debit, credit, gift card or other. Use Add a payment type for a second card or a register of its own.
Payments and Sales, tax and other money show as you type, with the Difference between them. They must agree to the cent before a close can post.
Cash rounds to the nearest five cents, so a day's cash rarely matches to the cent. When the gap is $2.00 or less on a day with cash, HQ fills in Cash rounding on its own line. A bigger gap is a wrong figure, and HQ refuses it.
The drawer
The drawer shows what was in the drawer going in, carried from your last posted close, and what it should hold now. You can type You counted before anything is taken out, and HQ books any difference to Cash Over/Short.
Left in the drawer is what stayed behind. Leave it blank if you bank everything but your float. If you keep your takings until bank day, type what you left, so tomorrow's count starts from the right figure. Money you keep in the drawer is still waiting for the bank. Your float is not, because it never left the business.
Use Add a paid-out for cash taken from the drawer for something: an expense, owner's draws or tips handed out. A paid-out claims no sales tax back, so to claim it, scan the receipt and leave it off the close.
Attach the report
Photo of the till report keeps a picture or PDF with the close. HQ doesn't read figures from it, so it never changes a number.
Save or post
Save draft posts nothing, and a draft doesn't have to balance. Post this close books the day. If something looks off, such as tax above your province's rate or a large difference in the drawer, HQ asks you to check it and offers Post anyway. A large difference needs a note saying what happened. Changing any figure takes Post anyway away, so HQ checks the new figures.
Type a figure the way your report prints it, such as $1,234.50. HQ won't save a figure it can't read, or a paid-out missing its account or its amount, and it names the row. A payment your till can't take on that day stays on the draft and says why until you remove it.
Fix a day
A posted close never changes. Open the day and choose Reverse this close. The dialog says what the reversal does, including what it means for a period you have already filed. HQ posts a contra entry on the same date, so the two net to zero, and keeps the row. Then choose Type this day again.
If the close was holding a payout or a gift card sale from a connected account, the dialog names each one. They post when you reverse the close, and those sales then come from that account, so don't type them again. A store's direct orders book on its next sync.
HQ refuses a reversal in a locked period, while a deposit has cleared part of the close, and on a close you kept as booked by skipping what a connected account recorded for it. Undo that deposit first, under Waiting for the bank, or take the skip back under Tills.
A day that came back as a draft
When you say a till's sales were on a connected account, HQ reverses those days and brings back what stays with the till as drafts under Days. A card processor's day keeps its cash and other money, with that share of the tax. A store books every payment, so its day holds only what was paid out of the drawer, with no payment and no count. That is not a mistake: Post these paid-outs books them and nothing else.
If Square is your till
When a till is linked to Square, Square's payouts book its card sales, so the close takes the day's cash and other money only. Enter the figures from Square's close of day report, and choose Work out the cash part. HQ works out each tax's share of the cash, which you can change. It is exact on a day taxed the same throughout and an estimate on a day that mixes taxed and untaxed goods.
PST on Square's card sales may sit inside sales for now, not in PST Payable, so check it against Square's report before you file.
