Attach a receipt to a bank charge

Open this in Talisk HQ

When you're looking at a bank charge and have the receipt for it, attach and book it in one step:

  1. Go to Ledger › Banking › Transactions and click Match on the charge (a money-out line).
  2. In the picker, use the Upload receipt control at the bottom: upload a PDF or image, or paste a screenshot.

TALISK_HQ reads the receipt, creates the bill, approves it, and matches it to that exact charge: all at once. The receipt is stored with the transaction and shows in Documents.

If the amounts don't line up, TALISK_HQ books what actually left the bank and tells you what it did:

  • A charge smaller than the receipt is recorded as a partial payment. The bill stays open for the rest.
  • A charge larger than the receipt books the extra as a cost, to the charge's own category, or the receipt's if the charge has none. If neither has a category, TALISK_HQ saves nothing and asks you to categorize the charge in Banking first, then upload the receipt again.
  • A difference of a few cents either way closes the bill in full and puts the cents in Cash Over/Short.

This only applies to money-out charges, not refunds.

If the document you upload is a supplier's proforma (it says "proforma" on it), TALISK_HQ asks before matching it, because this step books it as an expense. A charge that paid a deposit on a proforma belongs on that proforma: cancel, then click Proforma payment under Change what this is on the same line (or Record a payment on the proforma under Ledger › Expenses › Proformas). If the document really is a bill you owe, choose It's a real bill, match it and TALISK_HQ matches it as usual and files it as a standard bill. Nothing is saved until you choose.

No receipt to attach? On the books health card that lists charges with no receipt (and on the one for bills marked paid by business card with no card charge), a row can carry Ask for a receipt. It opens Compose with an email to that supplier naming the date and amount of the charge. TALISK_HQ offers it only when the charge clearly belongs to one supplier in your Contacts directory and somebody there is confirmed; if two suppliers could match, it stays quiet rather than guess. Nothing is sent until you send it yourself. When the receipt arrives, attach it here as above.

Good to know: This works from a money-out (debit) charge only: a refund or credit can't be matched this way. If the receipt total doesn't equal the charge, Talisk tells you exactly what it booked (a partial payment, or the extra as a cost). An extra with no category to go to is refused until the charge is categorized.
