Add, deactivate or remove a team member who pays expenses

Open this in Talisk HQ

Team members are the people who pay business expenses out of their own pocket: employees, contractors, family. They live on Ledger › Setup: click Edit on the business and look under People.

  1. To add someone, type their name, pick a role if you like, and click + Add. You can also add a person while recording a bill, with + Add person… in the who-paid picker.
  2. When a bill they paid is booked, what the business owes them goes to their own reimbursements account in your chart of accounts, and shows under People balances.

To take someone off the list, click the bin icon on their row. If nothing in your books names them yet, they're removed. If a bill or receipt they paid personally, their reimbursements account, a repayment or a reimbursement still names them (discarded, cancelled and pre-opening records included), TALISK_HQ won't remove them and tells you what is holding it (for example, "2 bills they paid personally; 1 repayment"). Those records are real history, so TALISK_HQ won't leave them pointing at nobody. Choose Deactivate instead in that message, or Keep as is to leave them unchanged.

A deactivated team member stays on the list, marked inactive. Everything already recorded against them keeps their name, including their balance and statement, and they're no longer offered when you choose who paid a bill or receipt. Paying back what the business still owes them works as before. Click Reactivate on their row to offer them again.

A repayment has to come from a bank line dated on or after your books' start date: a line from before it is already counted in your opening balances, so TALISK_HQ refuses it.

If you added someone by mistake and the only thing naming them is an unused reimbursements account, the message names the account: delete it from Ledger › Accounting (the chart of accounts) first, then remove the person.

Good to know: A team member that anything in your books still names can't be removed: a bill or receipt they paid personally, their reimbursements account, a repayment or a reimbursement. Choose Deactivate instead, which keeps all of it. Shareholders are not removed here: they are deactivated on the Owner & Loan Balances page. A team member is someone who pays, not a login: adding one gives them no access to your books.
