Notes and photos on a job

Some things are worth writing down while you are standing there. The meter reading. Which wall was already wet before you started. What the customer actually asked for, in their words.

Open a job on your phone and you will see Photo and Note beside Hours, Receipt and Mileage. Both save straight to that job.

Adding one

Tap Note, type what happened, and save.

Tap Photo, then Choose a photo, and take one with the camera or pick one already in your camera roll. TALISK_HQ shows you the picture before you save it, so a mis-aimed shot is one tap to replace rather than something you find later. You can add a few words with it, which is usually worth doing. "Before we started" turns a picture into evidence.

Everything you add shows under Notes and photos on the job, newest first.

The sheet names the books it is saving to, the same as the scanner. A note or photo is saved only into those books: if you switched accounts in another tab, or a switch did not finish on a weak signal, the sheet says its books are out of date, saves nothing, and offers Reload.

If you are somewhere with no signal

A note or photo needs a connection to save. Unlike hours, mileage and receipts, it is not kept on your phone to send later: with no signal, Save fails, the sheet says it could not save, and nothing is added to the job. The sheet stays open with your words and your photo, so tap Save again once you have signal. If you close it first, what you typed is gone.

A note is not a receipt

This is the one thing worth being clear about. A note or a photo is a record of what happened; it never becomes a cost, never lands on an invoice, and never changes your books. If you are photographing something you PAID for, use Receipt instead. That is the one that reads the amount and turns it into a bill.

Photographing the receipt as a note is not wrong, it just does not do anything with the money.

Removing one

Open the job, find it in the timeline, and choose Delete. TALISK_HQ asks you to confirm first, because there is no bin to get it back from: the photo on the job is often the only copy, especially one that came from a message rather than your own camera. If the delete does not go through, TALISK_HQ tells you, and the note stays where it was.

Who can see them

The same people who can see the job. A note belongs to one set of books, and a bookkeeper you have invited into a different set never sees it.

Your notes are encrypted, which has one consequence worth knowing: you cannot search inside them. TALISK_HQ cannot read them either, which is the point.

Good to know: A note and a photo are a RECORD, not money. They never become a cost, never appear on an invoice, and never touch your books, a receipt still goes through Scan, which is what turns a photo into a bill. Notes live on the job they were captured against and move with it; there is no way to file one against a job in a different set of books. You cannot search inside a note: the words are encrypted, so Talisk itself cannot read them to build an index. Photos are capped at 10 MB each and must be a real image (PNG, JPEG, WebP or GIF). Adding notes and photos is a phone job; on a computer you can read the timeline but not add to it.
