Cash, what is coming up and missing receipts on your phone
Updated
The Money tab on your phone answers two questions: how is the business doing, and what needs you. Every figure on it is one another screen in HQ already shows, so the phone and the computer always agree.
The big number
Under Sales this month (or Received this month for a business that runs on jobs), one line says how it compares with the same days of last month, for example Up $1,240.00 on the same days last month. When last month had nothing over those days, the line is not shown, so you never see a comparison against nothing.
Needs you
Needs you comes first and only appears when something is waiting:
- Bills to review opens the bills and receipts still waiting for you.
- Charges to categorize opens the bank charges that need a category.
- Payouts not matched to the bank, for a store or a payment processor, opens your payouts so you can see which have not reached the bank yet.
Below those lines are the books-health findings meant for you. Overdue invoices are not here: they are in Owed to you.
Got the receipt?
This card lists the bank charges with no receipt or bill on file: the same charges the books-health card about missing receipts counts. Each row shows the merchant, the date and the amount.
Tap Add receipt beside a charge, then take a photo or pick a file. HQ shows you the charge and the file together, and nothing is sent until you tap Attach and match. HQ then reads the receipt, records it as a paid bill and matches it to that charge. If the receipt and the charge are different amounts, HQ tells you exactly what it booked. If it cannot match them (the amounts differ and it needs to know where the difference goes, the receipt reads as a credit, or the charge is a transfer between your own accounts), it says so and saves nothing.
Add receipt is not offered while you are offline or while the list on screen is one saved on your phone from an earlier visit.
Cash and Free cash
Cash lists each bank account, card and line of credit with its balance as Ledger › Banking › Accounts shows it. A card or line of credit shows what is owed. Where HQ has a bank connection, what the bank says sits underneath, with whether it matches your books. HQ does not compare the two when the connection needs attention, when several accounts share one ledger account, or when the account is in another currency.
Free cash is your bank balances less the GST to set aside, the bills due in the next 14 days and the card payments due in the next 14 days. The card shows the sum, so you can check it. When HQ does not know one of those parts, for example a bill in another currency with no exchange rate yet, a card payment it cannot confirm, or a card that owes money but has no statement uploaded and no due day set, Free cash is not shown and the card names what is missing. For a card, open its row in Ledger › Banking › Accounts, tick Same day each month under Payment, type the Due day and click Save payment settings.
What the bank says under an account always carries the date the bank reported it, so an older figure never reads as today's.
Coming up
Coming up lists the next 14 days, by date: bills due (and any already overdue), card payments due, a GST/HST return due, and invoices your customers are due to pay. Tap a bill or an invoice to open it.
This month so far
This month so far shows Revenue, Expenses and Net income from the 1st of the month to today, on your books' own day. They are the same figures Ledger › Reports shows on the Profit & Loss for those dates, on the basis your books report on (cash or accrual), and the card says which dates and which basis. Open Profit & Loss on desktop view switches this device to the full site and opens the report there on the same dates.
Send to accountant or bank
Send to accountant or bank makes a PDF of a report and hands it to your phone's share sheet, so you can send it by Mail, Messages or any app on the phone, or save it to Files:
- Pick the report: Profit & Loss, Balance sheet, or, when your business has a GST number on file, the GST/HST worksheet.
- Pick the period: This month (to today), Last month, or your latest GST/HST filing period that has ended, by its name. The balance sheet is as of the last day of the period; the GST/HST worksheet always covers the filing period.
- Tap Prepare PDF, then Share PDF.
When your phone or browser cannot share a file, or the share sheet does not open, the card offers Download PDF instead. Nothing is offered while you are offline. Making the PDF changes nothing in your books.
All of these cards can be reordered or hidden with Customize Money, the sliders button beside the greeting.
