Keep your legal name, numbers and licences in one place
Banks, payroll services, insurers and government portals keep asking for the same numbers. The Business details card, in Ledger, Setup, on your business, keeps them together with a copy button beside each one.
What it holds
- Legal name and Operating name. The operating name is the business name from your business profile. The legal name is the registered one, and when you fill it in, it becomes the Beneficiary in the bank account wire instructions, because banks want the legal name. With no legal name, the wire instructions use the business name as before.
- Registered office, only when it differs from your business address.
- Incorporation number, the date, and the Jurisdiction (Canada federal, a province, a US state or another place).
- Your CRA accounts: the nine-digit Business Number (BN) and the program accounts Payroll account (RP), Corporation tax account (RC) and Import/export account (RM), typed like RP0001. If you have not entered a Business Number, the card shows the nine digits from your GST/HST number and says so.
- Workers' comp board and account number (WorkSafeBC, WSIB, CNESST or another board).
- Business licences: who issued each one, its number and, if it has one, when it expires.
- Directors and officers: a name and a role for each.
The tax numbers (GST/HST, QST, PST and the number printed on invoices) sit under their own heading, with copy buttons. If your saved Business Number is not the first nine digits of your GST/HST number, the card says so, and Copy all still copies both as they are. To change one, press Change in Tax settings, which opens your business profile.
Copy a number, or all of them
Every value has a copy button. Copy all puts a tidy list of everything on the card on your clipboard, one labelled line each, ready to paste into a form or an email.
Fill the card from a document
Press Fill from a document and choose a PDF or an image (a certificate of incorporation, a CRA letter, a workers' comp letter, a licence). To use a screenshot, copy it and press Paste a screenshot. TALISK_HQ reads the first three pages of a PDF, and a very large image is shrunk first. It reads the file once and does not keep it. To keep the paper, add it with Add paperwork. Reading a document uses your account's AI allowance. If TALISK_HQ says it could not read the file, try a smaller or clearer copy.
What TALISK_HQ finds opens in the edit form, filled into the empty fields only, each marked From your document. Check it. Compare each one with the document, fix anything that is wrong, then press Save. Nothing is saved until you do.
If the document lists licences or directors that are not on the card yet, the card shows them under On your document, not on the card, each with Add to the card. Pressing it adds that entry to the form, marked From your document. Check it., after the ones you already have; nothing is replaced or removed, and nothing is saved until you press Save.
If the document shows something different from what you already have saved, the card lists it as a difference and changes nothing. If it shows a different GST/HST, QST or PST number from your Tax settings, the card says so ("Your document says X; Tax settings has Y") with Open Tax settings. It never saves a tax number for you.
TALISK_HQ checks each number before saving it: a Business Number is nine digits, and a program account must look like RP0001 and match the Business Number. A number that fails is not saved, and the message beside it says what is wrong.
Who can change it
You can, and a bookkeeper with full access. A bookkeeper with view-only or edit access can read the card and copy from it but cannot change it.
On your phone
More, Business details shows the same numbers and each bank account's details to look at and copy only: the account number is hidden until you tap Show, and Copy wire instructions copies the beneficiary and bank details for a payment. Adding or changing anything is done on a computer.
